General Administration
Leave approvals, personnel files, official vehicles, repairs and offices, the asset register, unit reports and the Document Tracker.
Everything in this course is in the General Administration menu on the left of the staff console. You need the General Administration role. Any member of staff can also ask for leave, book a vehicle and report a repair from My work, so you will see their requests here.
- 1
Approve leave requests
Every leave request goes to the person’s supervisor first and then to HR. See what is waiting, approve it or say why not.
6 min - 2
Leave balances, training and HR lists
Check and change leave entitlements, record staff training, read the HR figures and keep the lists of units, grades, positions and leave types.
6 min - 3
Keep personnel files
Every member of staff has a personnel file: job, grade, dates, contacts, next of kin, qualifications, documents and career history.
7 min - 4
Approve trips and assign vehicles
Staff book an official vehicle for a trip. Transport approves it, assigns a vehicle and driver, and closes the trip with the mileage.
6 min - 5
Vehicles, fuel and servicing
Keep the Council’s vehicles on the register with their insurance and roadworthy dates, and record fuel and servicing so running costs add up.
5 min - 6
Repairs, offices and utility bills
Staff report repairs; you assign them and mark them done. Keep the list of offices and buildings, and track utility bills.
6 min - 7
Keep the asset register
The fixed asset register shows who has what, where it is and what it is worth today. Add assets, move them, print tags and record disposals.
6 min - 8
Reports and the other registers
Download General Administration reports as Excel or PDF, and open the Compliance, Registration and Accreditation registers from your menu.
4 min - 9
Track files with the Document Tracker
Register a letter or file when it reaches your unit, then follow it desk to desk. Each move is acknowledged, with minutes and how long it stayed.
